1. Who we are
Cheetah Talent ("we", "us") is a recruitment firm based in the Greater Toronto Area, Ontario. We place AI, data and automation professionals with companies in Canada and the United States on contract, contract-to-hire and permanent terms, and we run confidential searches for AI leadership roles.
This policy applies to everyone whose personal information we handle: candidates, clients and their hiring teams, people who give references, and visitors to cheetahtalent.com. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for residents of Quebec, Quebec's Act respecting the protection of personal information in the private sector.
2. Information we collect
From candidates
- What you send us: your name, email, LinkedIn profile, primary skill, location, work authorization, the type of work you want and, if you choose to upload it, your résumé.
- What we learn during vetting: notes from screening and technical interviews, practical-check results, scorecards, rate or salary expectations and availability.
- From references, with your permission: feedback from the people you name.
- Background or credential checks, only if a role requires one and only with your separate written consent.
From clients
- Your name, work email, company and the details of the role you're hiring for.
- Interview feedback on candidates, and the contract, billing and contact details needed to run a placement.
From people who give references
- Your name, contact details, working relationship with the candidate and the feedback you choose to share.
From website visitors
- Our hosting and security providers automatically process technical information such as IP address, browser type and the pages requested, to deliver the site and protect it from abuse. We don't use this to identify or profile you.
3. How we use it
- To assess candidates and match them with suitable contract and permanent roles.
- To present a candidate to a client, only after that candidate has agreed to the specific role.
- To scope roles with clients, arrange interviews, and prepare offers, agreements, invoices and payroll.
- To reply to enquiries and schedule calls.
- To meet our legal, tax and regulatory obligations, and to keep our services and website secure.
We only send marketing emails, such as role alerts or hiring insights, to people who have agreed to receive them, and every one includes a way to unsubscribe.
4. People make our decisions
A practitioner interviews every candidate, and a person decides who goes on a shortlist. Clients make their own hiring decisions. We don't use automated decision-making to accept or reject candidates. If we introduce software that helps us search or match profiles, we'll update this policy, and a person will still make every shortlisting decision.
5. Consent
By sending us your information you consent to the uses described here. We ask for separate, specific consent before presenting you to a client for a role, before contacting your references, and before any background check. You can withdraw consent at any time by emailing [email protected]. Withdrawing may mean we can no longer put you forward for roles.
6. Who we share it with
- Clients: a candidate's profile and assessment, only with that candidate's consent for that role.
- References and verification providers: only with the candidate's consent.
- Service providers who help us run the business and are bound to protect the information. Today these are Netlify (website hosting and form submissions), Cloudflare (website security, delivery and cookieless visit statistics) and Microsoft 365 (email, calendar and Microsoft Bookings). As we add recruiting, payroll or accounting tools, we'll list them here.
- Authorities, when the law requires it.
- A buyer or successor, if the business is sold or merged, under the same protections.
We never sell or rent personal information.
7. Storage outside Canada
Some of our service providers store or process information in the United States and other countries. Information held outside Canada is protected by our agreements with those providers but may be accessible to courts, law enforcement and national security authorities in those countries under their laws.
8. How long we keep it
- Candidates: up to two years after our last contact with you, so we can match you with new roles. Ask us to delete your profile sooner at any time.
- Client enquiries that don't become an engagement: up to two years.
- Placement, contract and billing records: as long as tax and employment laws require, generally six years.
After that, we securely delete or anonymize the information.
9. How we protect it
We limit access to the people who need it, use encrypted connections and reputable providers, and require confidentiality commitments from anyone who interviews on our behalf. No system is completely secure, but if a breach creates a real risk of significant harm, we'll notify the people affected and the Office of the Privacy Commissioner of Canada, as the law requires.
10. Your rights
You can ask us to:
- show you the personal information we hold about you, and how we've used and shared it;
- correct anything that's inaccurate or incomplete;
- withdraw your consent, or delete your information when we no longer need it.
Email [email protected]. We may need to confirm your identity, and we'll respond within 30 days. Residents of Quebec have additional rights, including asking us to stop disseminating their information. If you're not satisfied with our response, you can contact theOffice of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.
11. Cookies
This website doesn't use advertising or tracking cookies. We use Cloudflare Web Analytics to count visits and see which pages are useful. It sets no cookies and doesn't identify or follow you across other websites. Our security provider may also set strictly necessary cookies to tell people from bots.
12. Children
Our services are for working professionals. We don't knowingly collect information from anyone under 18.
13. Changes to this policy
We'll update this page when our practices change and revise the date at the top. If a change is significant, we'll tell the candidates and clients affected.
